Document Services Weekend Supervisor

Job description

A City based Global Law firm is looking for a Document Services Weekend Supervisor to work 11am - 11pm, Saturday - Monday.

The Document Services Weekend Supervisor oversees the operational management of Document Services ensuring that a standard and consistent level of management and support is provided at all times.

Duties include:-

  • Managing the night shift team and department workflow, maintaning a high level of service
  • Oversee and take ownership of weekend activity and staff working at the weekends whether on fixed or ad-hoc shifts
  • Develop and maintain strong relationships with internal clients
  • Regular quality checking work produced on shift both in-house and outsourced
  • Promote and help develop a high performing culture within the team
  • Develop and train staff
  • Coordinate holidays and rotas for all staff, organising cover for absences where appropriate and ensuring other team managers and relevent personnel are kept up to date
  • Hold team meetings and one to ones for staff as well as performance reviews and addressing performance management issues
  • Liaise with team throughout the shift regarding workload and availability
  • Perform ad hoc checks
  • Constantly review and identify areas where processes or procedures can be improved
  • Monitor the team's performance against agreed KPI's
  • Keep abreast of new developments or innovation in order to provide a constantly evolving service
  • Deputising for the Document Operations Manager as and when required
  • Handling and escalating complaints appropriately

Key skills required

  • Legal or similar professional services background preferred
  • Experience of administering effective workflow management systems
  • Experience of word processing, complex documents in client and deadline driven environment; or
  • Experience of proofreading legal documents, able to direct and advise
